Google Workspace Add-on

Signup sheets, right from Gmail.

Pick a template, click insert, send. Recipients sign up in one click — no account and no ads, ever. Waitlists, confirmations, and reminders run themselves.

Only the organizer needs an account. Participants click Sign Up from their inbox — no signup, no app, no ads on the page. Ever.

How it works

Three steps from compose to a full sheet

No new app to learn. No links to chase. No friction for the people signing up.

01

Pick a template

Open the add-on in Gmail's compose sidebar and choose a template — potluck, conferences, volunteer event, and more — or start from scratch.

02

Click insert

Tweak the slots if you like, then click Insert Signup Sheet. A clean sheet card lands in your draft with a Sign Up button per slot.

03

Send — signups roll in

Recipients sign up in one click, no account needed. Confirmations, reminders, and waitlist promotions are automatic; your dashboard fills up live.

Three slot engines

One tool, every kind of sheet

Every template is a skin over one of three engines — so the same add-on covers potlucks, conference slots, and volunteer shifts.

Items

Things to bring

Potluck dishes, party supplies, donation drives. Each item has a quantity needed, and one person can claim more than one — "I'll bring 2 fruit trays."

Time slots

Appointment times

Parent-teacher conferences, office hours, 1:1s. Give each slot a start and end time; people claim the one that works and get a calendar-ready confirmation.

Roles

People & shifts

Volunteer roles, event-day jobs, snack weeks. Each role needs N people; the sheet shows exactly how many spots are left in every role.

Template gallery

Fifteen templates, zero typing

Work shifts, office hours, potlucks, volunteer events and more — every template pre-fills the title and slots, so you insert as-is or tweak a line. All templates are included on every plan, free included.

Everything in the box

The whole job, handled

The tag on each card shows the plan it needs — the essentials are free, the power tools unlock with Pro.

All plans

Slot limits

Every slot has a "needed" count — 3 mains, 4 setup volunteers, 1 family per conference time. When it's filled, the sheet says so and stops overbooking automatically.

Quantities

For item sheets, one person can claim more than one unit — "I'll bring 2 fruit trays" counts as 2 toward the 20 you asked for. Totals stay accurate without mental math.

All plans

Waitlist auto-promotion

Full slots take waitlist signups. When someone cancels, the earliest waitlisted person that fits is promoted automatically and emailed "A spot opened up!" — free forever, on every plan.

All plans

Everyone gets an instant confirmation with a calendar link, plus a reminder 24 hours before the event. Pro lets you push the lead time to 48 or 72 hours.

FAQ

Common questions

Everything you might want to know before installing.

What is Signup Sheets for Gmail?

Signup Sheets for Gmail is a Google Workspace add-on that lets you build a signup sheet inside Gmail's compose window — pick a template, click insert, send. The sheet appears as a clean card in the email, and recipients claim a slot in one click on a public signup page. No participant accounts, no ads, ever.

Do participants need an account to sign up?

No. Participants click a Sign Up button in the email, type their name (and email, so they get a confirmation and reminder), and they're done. No Google login, no app, no password — it works for anyone you can email, in any email client (Gmail, Outlook, Apple Mail, etc.).

Does the add-on need sensitive Gmail permissions?

No. The add-on uses only non-sensitive Google Workspace scopes — it can insert a sheet into the draft you're composing, and that's it. It cannot read your inbox or your sent mail. And participants never grant any Google access at all: signing up happens on a plain public web page.

Is the waitlist really free?

Yes — waitlists with automatic promotion are free forever, on every plan. When a slot is full, new signups join the waitlist. If someone cancels, the earliest waitlisted person that fits is promoted automatically and gets an "A spot opened up!" email. Other tools paywall this behind plans starting at $22.49/month.

Are there ads on the signup page?

Never. Your participants are parents, volunteers, and colleagues — not an audience to monetize. Signup Sheets for Gmail is funded by organizer subscriptions only, so the signup page stays clean on every plan, including Free.

Can participants change or cancel their signup?

Yes, on their own. Every confirmation email includes a magic manage link. Participants can switch slots, update their quantity or comment, or cancel — no account needed and no email to you. Cancellations automatically promote the next waitlisted person into the open spot.

What do I get with Pro?

Pro is $48/year and unlocks up to 100 slots per sheet (vs 10 on Free), up to 10 custom questions, full CSV export (emails, answers, comments, timestamps), color themes, remove-branding, an auto-close date, hiding participant names from the public page, one-click sheet duplication for recurring events, up to 5 co-organizers, and custom reminder lead times (24/48/72 hours).

What's the School & Team plan?

School & Team is $99/year for up to 10 seats — each seat gets full Pro — plus up to 10 co-organizers per sheet and priority support. It's built for schools, PTAs, boosters, and teams where several people run signups together under one subscription.
